Should You Connect Your POS to xero? The Honest Answer.
It's one of the more common questions we get from operators. You've got a POS system, you're using Xero, and someone, a bookkeeper, a mate in the industry, a software salesperson, has suggested you connect the two. Sounds logical, right?
Less manual entry, data flows automatically, done.
The honest answer is: sometimes yes, sometimes no. And the reasons why matter more than the yes or no itself.
The case for connecting
When it works, it works well. A clean POS integration with Xero can save real time, reduce manual data entry, and give you a more up to date picture of your financials. For venues with the right setup, it's a genuinely useful tool.
But it's not for everyone
Not every venue has the tech, or the POS plan that supports a clean integration. Some older systems, or lower tier POS subscriptions, either don't offer it or don't do it well. If that's you, it's not a gap you need to feel behind on. Plenty of well run venues don't use it and still have tight, well managed numbers.
The risk no one talks about
Here's the thing that can get missed in the enthusiasm for automation, if your POS data isn't clean, connecting it to Xero just means your errors arrive faster.
A variance that wasn't caught at the end of service. A discount applied incorrectly. A split payment that didn't reconcile properly. These things happen in busy venues every day. When they flow straight through to your books unchecked, they become your bookkeeper's problem to untangle, and that takes time and costs money.
Automation is only as good as the data going in.
What needs to happen first
Before anything hits your accounting software, whether through an integration or manual entry, someone at venue level needs to be across the numbers at the end of each trade. That means cash counted, EFTPOS matched, variances noted while they're still fresh and traceable.
